Ibiza TravelShop is a registered Travel Agent. We are a member of IATA and have the largest type of "mayorista" licence available in Spain so are fully bonded. WE have licensed premises with the head office based in Ibiza. All our staff are travel professionals and have worked on the management teams of the large tour operators such as First Choice, Thomson and Thomas Cook as well as in the media industry. We pride ourselves on being specialists on the island of Ibiza and will offer you the best individual components to make up your holiday or business trip.
Group Terms and Conditions - Accommodation
The following terms and conditions will be standard to the majority of group bookings. Exceptions to this rule could apply during large events taking place within the resort, or if the hotel/villa require us to advise of different terms and conditions. In these events you will be notified before departure.
1. Check in will be from 12 noon on the day of arrival, and check out will be between 9.00am – 12 noon on the day of departure dependent on the rules of the establishment.
2. Cancellations Penalty.
The following refunds/payments apply for cancellations and do not include a 20% deposit which is non-refundable.
60 days plus - no penalty will be charged
59 – 45 Days – 50% Charge
44 – 32 Days – 75% Charge
Under 31 Day – 100% Charge
We commit to do our best to negotiate with the accommodation provider to reduce costs wherever possible for any rooms cancelled after 31 days.
3. Payment
A deposit is required on confirmation of group and to secure your accommodation. Villas terms will be provided for customers at this time.
60 Days prior to arrival date a further 50% of full balance.
35 Days prior to arrival date, full balance required.
Payment is normally taken in euros and the full amount taken on any credit card is calculated by your own bank on the day of the transaction.
4. General
All of the above is offered subject to availability at the time of confirmation and can not be guaranteed until your deposit has been received.
4.1 All correspondence for any confirmations, amendments, cancellations etc. should be detailed in writing. Ibiza TravelShop/Viajes Rosmar cannot be held liable if any correspondence has not been received. It is your responsibility to ensure all details within any correspondence are correct.
4.2 Whilst we make every effort to ensure we provide you with detailed and accurate information on your offered accommodation, this information is given in good faith and taken from information provided to us at the time. Ibiza TravelShop/Viajes Rosmar cannot be held responsible for any discrepancies in this information.
4.3 Every effort has been made to ensure the accuracy of descriptions and facilities, however, there may be occasions when an advertised facility is withdrawn. Whenever possible you will be advised of any such changes as soon as possible, provided we have been advised. Where it is stated that hotels/villas have nightclubs, discos, entertainment, or provide facilities such as tennis courts, the hotel/villa may make charges and equipment is not always provided. The provision of such facilities may be limited from time to time. Outdoor activities may be subject to weather conditions and, on occasion’s sufficient numbers.
4.4 Star ratings are used to symbolise the overall quality, level of service, food options and range of facilities available in any given property. The criteria applied will vary depending on specific requirements and Ibiza TravelShop/Viajes Rosmar cannot be held responsible for acts, errors or omissions describing any accommodation or other service provided.
4.5 By agreeing to our terms and conditions, you are also agreeing to our booking conditions, privacy policy and security policy. It should be noted that these combined constitute your agreement with us.
4.6 Please note that passport, visa and health requirements are your sole responsibility. Each country has its own entry requirements. It is your responsibility to make sure that you have and carry with you the necessary documentation i.e., valid passport and visa (where applicable) and no refunds can be made for any errors made.
4.7 Rates differ according to the time of the season. All rates are quoted in euros, unless otherwise stated. Any subsequent change to the basis of your reservation shall be due in euros unless otherwise stated. As a condition of booking every customer who travels must have adequate insurance cover.
4.8 Accommodation featured by Ibiza TravelShop/Viajes Rosmar is subject to availability at the time of booking. Due to circumstances beyond our control, it may be necessary to alter the arrangements booked. If this happens, and the change is significant you will be notified immediately and an alternative offered to the same or higher standard of that originally booked. You have the choice of accepting the change or cancelling, in which case you will receive a full refund of all monies paid to us. No additional compensation can be offered.
4.9 In cases where we are acting only as a booking agent we have no liability for any of the accommodation arrangements and in particular any liability for any illness, personal injury, death or loss of any kind, unless caused by negligence. Any claim for damages for injury, illness or death arising from your stay in the accommodation, must be brought against the owner of the accommodation and will be under the jurisdiction of the law of the country in which the accommodation is based.
4.10 When you book accommodation through Ibiza TravelShop/Viajes Rosmar, you accept responsibility for the proper conduct of yourself and your party during your stay. The accommodation provider reserves the right at any time to terminate (before or after departure) your holiday or that of any member of your party due to your or their misconduct, within their reasonable opinion. Full cancellation charges will then apply and no refund will be given. Furthermore, neither the accommodation owner nor Ibiza TravelShop/Viajes Rosmar shall be under any obligation whatsoever to pay compensation or meet any costs or expenses you may occur as a result of us terminating your booking, in accordance with this paragraph.
If your actions or those of any member of your party cause damage to the accommodation in which you are staying, you agree to fully indemnify us against any claim (including legal costs) made against the accommodation owner. Finally, you are also liable to make a reimbursement to the accommodation provider for any damage caused, before you end your stay.
4.11 After registration, on arrival at your accommodation, you will be allocated your rooms. Please note that when travelling on flights arriving in Ibiza after midnight, your room will be reserved from check in time the previous day. You must therefore, normally check out of your room by 10.00am on the day before a night flight home or on the departure for an evening flight. For instance, if your flight departs Ibiza at 02.00am on Sunday morning, you should check out of your accommodation at 09.00am on Saturday morning, unless an additional day has been booked.
4.12 We will always try to assist with any request but these cannot be guaranteed. We do not accept bookings which are conditional upon special requests being met.
4.13 If you have a complaint during your stay you must immediately bring it to the attention of the establishment in which you are staying who will do their best to rectify the situation. If you still remain dissatisfied, any complaint must be made in writing to us within 7 days of return from your stay. Failure to take this step may deny us an opportunity to rectify the problem and investigate the circumstances, with the result that any entitlement you may have to compensation will be extinguished or at the very best be substantially reduced. Subject to your statutory rights as a consumer, compensation is in all cases limited to an entitlement to repayment of all monies paid to Ibiza TravelShop/Viajes Rosmar.
4.14 Room types vary from hotel to hotel, villa to villa, however in general, the following usually applies:
• Single room - contains 1 bed
• Twin room - contains 2 beds. However, some hotels/villas contain a large bed for 2 people. If you require 2 beds, this must be specified at the time of booking. This will only ever be a request and never guaranteed.
• Triple and quad rooms - contain a mixture of double beds/singles or bunks and are confirmed based on existing bedding. Please note that although a triple or quad room accommodates 3-4 adults respectively, this does not imply or guarantee that there are 3 or 4 beds in the room. Hotels will not normally allow more than 1 additional bed in a room. Additional beds in the room vary and may be a rollaway or a sofa bed.
Baby cots which have been requested are also paid for locally.
4.15 Certain hotels, villas and resorts may not be suitable for children or infants. Please read the description carefully to make sure that they meet your needs.
Please remember that some of the destinations and facilities may not be totally open should you arrive in resort early or late in the season. You may see signs that the resort is opening and closing and some construction may be heard or may be visible in this case.
4.16 Building work stops from July – September in the resort but internal or essential work is still allowed to take place on buildings. As well as unfinished buildings, noise may be heard from this type of work taking place. We will always endeavour to advise you should we become aware of this work taking place.
